Service Number Reporting

Monthly service reporting is a requirement upheld by Food Bank of Central New York as it pertains to the state and federal government. It is imperative that partner agencies keep accurate records of individuals served. Monthly reporting determines program efficiency and verifies agency activity. This data is also a powerful tool for educating donors, policymakers, and the general public about hunger in central and northern New York. Demonstrating the need for services allows the Food Bank to effectively advocate for support.

Monthly Service Reports must be submitted by the 10th of each month for the prior month's service (example: total service numbers for the month of December are due by January 10th). Partner agencies that fail to submit service numbers by the 10th may have their eligibility for these resources suspended or revoked in accordance with the Partnership Agreement. If your agency did not distribute food for the month, please report "0" for each category to verify no service was provided.

Agencies are required to submit monthly totals for:

  • Total number of households served (food pantries and Fresh Foods partner agencies only)
  • Unique (non-duplicated) number of households served (food pantries, fresh foods, and backpack type programs).
  • Children served (ages 0-17 years)
  • Adults served (ages 18-64 years)
  • Seniors served (ages 65+ years)
